Terms of Service

These Terms of Service apply to all custom made orders. All projects are individually quoted. Terms are subject to change.

Clients must be 18 or older, this form of work-for-hire involves a contract and you must be over 18 to enter into a contract.

30% of the full project price is required as a non-refundable deposit.

Once this deposit is received, the project is begun and materials are ordered and this amount cannot be refunded in the event of cancellation.

In the event of cancellation, any materials that were procured using the funds in the non-refunded deposit are the property of Xanaphia Cosplay and client has no further claim on the materials or products.

Once construction has begun you will be notified via email. If you cancel the project at this point, an additional 20% of the project price will be considered non-refundable.

All efforts will be made to complete every commission. If Xanaphia Cosplay is unable to complete your project for any reason, it will be cancelled by Xanaphia Cosplay. In this event, the full purchase price for the project will be refunded.

Once you have accepted the quote for your project, you will have six months to pay for the project in full. Once the first 30% is received, materials will be ordered and the project design will be created. Once 50% of the full price is received, construction will begin. If more than six months pass between the receipt of a quote and the receipt of full payment, the project will be subject to price increases due to fluctuations in material prices.

Completion times will vary based on project complexity, number of projects in development, and other factors. Normal completion time is between six weeks and six months once payment is received in full.

Shipping costs will be added to the project cost after the project is completed. The client is responsible for covering shipping costs before the project will be shipped. Shipping can range from $80 to $400 with insurance and weight and destination.

International orders are not accepted at this time. If you have a request, we will consider it after reviewing import and export restrictions.

Copyright for the creation of any project belongs to Xanaphia Cosplay. Photos of the completed work may be used by Xanaphia Cosplay in their advertising. No identifying information about project owners will be displayed without their express written permission. To purchase the copyright for your creation will involve an additional fee. This fee will insure that no photos of your project will be included in any advertising or portfolio.

Payments are tendered to Xanaphia Cosplay via PayPal only. PayPal will allow you to use your own method of payment once you log into their interface.

Projects will require both communication and cooperation from both parties. Dummies will need to be created and other information will need to be collected. Failure on the part of the client to reciprocate communication within a reasonable timeframe can cause delay on the project. Per the terms outlined above, if this delay causes the project to last longer than six months from the date of the original quote, prices will be subject to increase. If we are unable to reach you for 60 days, your project will be cancelled and refunded depending on work completed, minus your 30 to 50% deposit.

Xanaphia Cosplay is not responsible for any bodily harm that comes from our creations including, but not limited to: tripping, overheating, physical injury etc. Vision is restricted with some designs, be aware of limitations.
